Job Summary:
The Administrative Assistant will provide vital support to the President and team by handling a wide variety of administrative tasks. Coordinating schedules, organizing meetings, preparing reports, maintaining communication, and assisting with day-to-day administrative needs. The ideal candidate will be organized, proactive, detail-oriented, and capable of handling multiple priorities in a fast-paced environment.
Key Responsibilities:
- Provide administrative support to the President and team, ensuring efficient office operations.
- Assistant in schedule meetings, appointments, and events, ensuring effective time management.
- Prepare and proofread correspondence, reports, presentations, and other documents as needed.
- Answer and direct phone calls, emails, and other inquiries in a professional and timely manner.
- Maintain and update office filing systems, both electronic and physical.
- Handle office supplies inventory, ordering, and distribution to ensure a well-stocked and organized workspace.
- Assist in preparing for board meetings, events, and presentations, including logistics and materials.
- Assist in maintaining and updating the organization’s website and social media platforms.
- Coordinate travel arrangements for staff and executives as needed.
- Assist with data entry, managing spreadsheets, and basic accounting functions.
- Maintain confidentiality and handle sensitive information with discretion.
- Support special projects as assigned by the President/Business manager or other staff members.
Qualifications:
- High school diploma or equivalent required; Associate degree or higher preferred.
- Minimum of 2 years of experience in an administrative or office support role; experience in a nonprofit or economic development setting is a plus.
- Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- Strong attention to detail with an ability to multitask and problem-solve effectively.
- Positive attitude, professional demeanor, and willingness to learn.
- Knowledge of basic office equipment and administrative procedures.
- Serves as Campaign Administrator for the Impact Wayne Campaign (private and municipal sector fund raising campaign). This includes maintenance of the investor database; coordinating monthly billing cycles, handling basic inquiries and request for information regarding Impact Wayne; preparing any campaign documents; preparing annual solicitation license renewal; preparing Special Account spreadsheets; and assisting in the implementation of annual and special called meetings. Setting up appointment for the campaign.
- Assist staff with special event planning, including groundbreakings, open houses, ribbon cuttings, Industry Appreciation Month etc.
- Knowledge and experience with social media to include, Facebook, Twitter, LinkedIn etc.
